Cake Order Confirmation & Payment (for custom orders and weddings)

To confirm your order and date, a $100 Non Refundable deposit of the total is required at the time of booking. This deposit will confirm your cake or order for your selected date. Please note your booking is not confirmed or secured until you  have paid your deposit. The remaining balance is due 7 days prior to the delivery or pick date you selected. All payments are to be made via direct bank transfer, unless other arrangements have been agreed upon.

Changes made after ordering or being invoiced

Changes to your orders take our small team time that we often do not have, and can increase the chances of errors being made. Please do not order your cake until you are 100% sure on the colours/ text/ flavour/ size you need. Any changes will incur a $10 admin fee, and must be made no later than one week prior. Refunds will incur a $25 admin/processing fee to cover the charges from our payment platforms, website, and any items we have purchases in preparation of making your cake. We would prefer to give you a credit for future use to avoid this charge.

Font

The font styles we use for our fondant letters are a widely used alphabet in both upper and lowercase that are purchased from a third party and cannot be amended by us.

Please be aware that the lowercase 'a' in the fondant letter option is slightly larger than the remainder of the lowercase alphabet and is a stylistic choice by the producer that we cannot change. Please look at the available photos on the website and our Instagram to confirm that this is the style you are happy with as no refunds will be offered for dissatisfaction with the chosen font.

Stylistic Choices

There will be no refund issued for the cake maker's stylistic decisions made when creating your cake. This includes, but is not limited to, font, arrangement of add ons (pearls, cherries, flowers, piped on hearts etc).

Refunds

We want you to love and be 100% happy with your Whip Cake! However, refunds that are requested due to dissatisfaction of design, colour share, or general decoration will not be honoured. It is up to you do make your design wishes clear enough by providing enough detail to us when ordering. We trust that you have selected Whip Cakes because you love our style and trust our professional experience/ opinions.  If you are unsatisfied with the flavour or quality of cake (we really hope this will never be the case)  and request a refund, this will be assessed at our discretion. In these circumstances the cake must be returned in full. 

Unfortunately, we are unable to issue a refund for a cake/ cupcakes/ cookies that have been consumed. 

If you are unhappy with your cake at pick up, there is always a good chance we will be able to resolve your concerns then and there. Please be aware if you have sent someone else to pick up your order for you, this will not be an option available to you. 

Cancellation Policy

Any cancellations will result in the loss of your non-refundable deposit. If you are to cancel a purchase or order made via the website, we will refund your order minus a $25 processing fee (only if 7 days notice has been provided). All cancellations or changes must be in writing. If you cancel your order within 3 days of your order, the full purchase amount will be forfeited. If you fail to show up to your appointment time for collection, we may not be available until the next business day for a recollection. We cannot refund cakes that have not been collected within business hours. We do understand that things can come up  and if you need to move the date of your cake, you must notify us in writing via e-mail. The new date will be subject to availability.  

Handling & Care

Once your cake is delivered or picked up, it is your sole responsibility to handle and store cake in correct manner, including appropriate refrigeration, and safe transportation. This information on how to do so will come with your cake.

Whip Cakes takes no responsibility if damage occurs to the cake after it has been picked up or delivered. 

Any damage occurring due to your transport or mishandling, we may be able to assist with fixing, but this is subject to our availability on the day, so please be careful when transporting, especially with tall cakes. 

Order pick up

Orders can be picked up from the Whip Cakes address. This must be stipulated correctly at the time of booking. In the case of pick up, please be sure to select the correct collection hub, ie Rochedale or Jimboomba location. Orders must be picked up at the selected time as we operate a strict schedule and often have other deliveries or pick ups to fulfill. If you are late you may have to come back to collect or you may have to pay for delivery/ uber of your cake. 

Deliveries

We do offer delivery, but this is limited to orders over $100, weddings and multi-tiered cakes. When ordering it is your responsibility to record the correct delivery address, and to be home at the time period you have selected delivery for, as your cake must be placed in the fridge upon delivery. We will be in touch on the day of/ day before delivery to give a more accurate time. Our delivery fees vary depending on the distance of the trip which is automatically calculated when you enter your shipping address in the checkout. We do also allow the option of you ordering an Uber to collect your order if you are unable to collect it yourself. This will be organised by yourself on the day of collection and our number will be provided to you to add us to the Uber booking, so we are notified when they arrive for collection. Otherwise, you need to send us a text with the info we require to identify the Uber. We don't recommend this option for the tall cakes or multi-tiers.

Design

Due to the nature of the design process we do note replicate other cake artist's work. We use your inspiration images as inspiration only. No two cakes are ever the same, even ones that Whip Cakes make over and over again. 

Florals on cakes (weddings)

If you would like the flowers on your cake to be an exact match to your event flowers, please ask your florist to set aside some choice flowers for your cake. This is the best possible way to ensure a style/ colour match as we are limited to the colours available at the flower markets each week. We do however aim to match your requests as best as possible. 

If you do get your florist to provide flowers for the cake, please ensure they have your cake inspiration pics as we do not want the amount of appearance of the flowers to be inadequate for your cake. 

Agreement to terms and conditions

Payment of your deposit, or in the case of ordering through the website, paying got your order, is consideration that you are in agreement with all of our terms and conditions. Terms and conditions may be subject to change at any time without notice. 

Got leftovers?

Your cake leftovers can be stored in the fridge for up to 7 days, or frozen for up to 40 days if placed in an airtight container. Cookies and cupcakes can also be refrigerated/frozen.

Displaying your Cake

As buttercream softens and melts eventually in direct sunlight, we always recommend displaying your cake indoors in an air conditioned room. If it is outside, we recommend cutting your cake within 90 mints. If it is inside, it can be displayed for up to 4 hours, however we recommend cutting as soon as possible while it maintains its appearance and structural integrity.  

Design changes after being invoiced?

Unless there is a significant reason, we are unable to make changes to your order or invoice in the absence of a $25 admin fee being added. Each change made takes times and may cost us in goods already purchased. Please understand that we cannot always accommodate date changes due to capacity and you may forfeit your deposit if this is not considered prior to booking.
